About the Role

The Litigation Secretary supports the Litigation Partners and wider team by providing high quality administrative, document, and litigation support. Reporting directly to the Litigation Partners, this role contributes to one overarching objective: ensuring the litigation fee earning team delivers an efficient, accurate, and high quality service to clients. Primary responsibilities include:

  • Draft and format standard and non standard legal documents, including engagement letters, legal opinions, pleadings, amendments, name changes, and blacklines
  • Complete ad hoc document drafting and prepare accurate, well formatted revisions
  • Schedule meetings, phone calls, and video conferences and manage attorneys’ calendars
  • Prepare itineraries, meeting notes, maps, and marketing contact lists in InterAction for marketing trips
  • Open and maintain files in InterAction, including file creation, updates, closings, and archiving
  • Manage e filing, document organisation, and preparation of physical and electronic hearing bundles
  • Prepare materials for hearings, conferences, client meetings, and legal training sessions
  • File documents at Court via Curia and stay up to date with court procedures
  • Liaise with Conflicts, Audit Confirmations, and other internal teams on required searches and requests
  • Process incoming mail, courier packages, and local deliveries
  • Support billing by printing prebills, requesting invoice edits, maintaining billing groups, sending invoices, and liaising with the Leeds Collections team
  • Coordinate with Accounts to request wires for returning funds and order Certificates of Good Standing on CORIS for transactional matters
  • Assist with timesheet entry, prebills, invoice queries, and follow up on outstanding accounts
  • Manage office related tasks including greeting visitors, ordering supplies, maintaining printers and equipment, arranging repairs, and assisting with events and communications
  • Coordinate travel and accommodations for staff and visitors
  • Prepare and submit work permit documentation, ensuring secure handling of personal documents
  • Conduct company searches (VIRRGIN and High Court), distribute results to fee earners, and record corresponding fees
  • Monitor and respond to Foreign Office filing requests, prepare notarial certificates, coordinate notarizations, and enter data and fees in VIRRGIN
  • Report system issues to IT and escalate complex requests when required
  • Follow internal compliance procedures, including AML/CTF requirements, and report concerns appropriately
  • Perform additional administrative and operational tasks as reasonably assigned

EXPERIENCE

What You Bring

In addition to indisputably high ethical standards and autonomy, the ideal candidate possesses the following: 

  • A minimum of 5 years’ experience as a legal secretary in a professional office environment (litigation experience strongly preferred)
  • Experience drafting, formatting, and preparing a wide range of legal documents
  • Excellent interpersonal and communication skills, both written and verbal
  • Strong organisational skills with proven ability to prioritise tasks, manage diaries, schedule meetings, and coordinate travel arrangements
  • Experience taking, typing, and distributing accurate minutes, as well as completing audio transcriptions
  • High level of attention to detail, accuracy, and professionalism
  • Proficiency in Microsoft Office and working knowledge of ADEX, Adobe, Filesite, InterAction, Litera, and Change Pro
  • Ability to handle confidential information with discretion and uphold indisputably high ethical standards
  • Proactive, reliable, and able to support a busy litigation team effectively
